Introduction and Scope. Reachific (“Reachific,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains what personal data we collect, how we use and share it, and your rights when you use our websites, applications, and services (collectively, the “Service”).
This Policy applies to personal information we process as a data controller (e.g., about our customers, website visitors, business contacts, and marketing recipients). Reachific is a SaaS platform that customers use to process data about their contacts (e.g., leads or clients). For that processing, Reachific acts as a service provider/data processor on behalf of the customer. If your information was entered into Reachific by one of our customers, please refer to that customer’s privacy policy.
By using the Service or providing personal information to us, you agree to the practices described here. If you do not agree, please do not use the Service or provide personal data to us.
1. Information We Collect
Information You Provide Directly
- Identifiers and Contact Data: Name, business name, email address, phone number, postal address, and similar contact details. We may also collect login credentials (username, password).
- Account Profile & Business Info: Company/role (industry, company size, title), profile photo/logo, preferences (time zone, language).
- Billing Information: Our payment processor (e.g., Stripe) collects payment card details and billing address. We keep transaction records but do not store full card numbers.
- Content and Files: Materials you upload or create in the platform (e.g., email/SMS text, images, videos, landing page assets, documents, course materials). Support inquiries and feedback you submit.
- Contacts & Leads Data: Information you import or collect about third parties (e.g., names, emails, phone numbers, addresses, demographics). You represent you have a lawful basis to collect and use this data. We process such data on your behalf to provide the Service.
- Communications: Copies of correspondence with us (email, chat, and call recordings if you call our support line).
Information We Collect Automatically
- Device & Technical Data: Device type, OS, browser, screen resolution, device identifiers, system language.
- IP Address & Approximate Location: IP-derived city/region/country (not precise GPS).
- Usage Data: Pages/screens viewed, features used, clicks, timestamps, error logs, and performance data.
- Cookies & Similar Technologies: Cookies, pixels, beacons, and local storage used for authentication, analytics, advertising/retargeting, and preferences. See Cookies and Tracking.
Information from Third Parties
- Marketing/Advertising Partners: Leads or contact details from affiliates or ads you interact with.
- Data Providers & Public Sources: Business contact data from brokers or public records (e.g., company name, role, work email) where legally obtained.
- Integrated Services: Information from services you connect (e.g., Google for SSO/calendar, Facebook for ads) as permitted by you and described at integration.
- Referral/Affiliate Info: Data to attribute sign-ups or administer our affiliate program.
Sensitive Data & Children
Sensitive Personal Data: We do not intentionally collect sensitive data (e.g., government IDs, financial account passwords, health/biometric data) and ask that you do not upload it unless lawfully required and agreed (e.g., a BAA for health data). We do not use biometric authentication.
Children’s Data: The Service is not directed to children under 16. We do not knowingly collect data from children. If we learn we have, we will delete it. Contact us if you believe a child’s data was provided to us.
2. How We Use Personal Information
- Provide and Operate the Service: Create and authenticate accounts; enable features (pages, forms, messaging, scheduling); host content; process transactions; support integrations per your direction.
- Service Communications: Send transactional emails/SMS (welcome, receipts, security alerts, verification codes, password resets, plan notices). These are necessary for the Service.
- Customer Support: Respond to requests; investigate and resolve issues; use session/error data to troubleshoot.
- Improvement & Development: Analyze usage and feedback to improve performance, usability, and features—preferably with de-identified or aggregated data.
- Personalization: Remember preferences and suggest relevant features or guidance.
- Analytics: Understand navigation and usage patterns to improve the Service and measure funnel performance.
- Marketing & Promotions: Send product updates, newsletters, and offers as permitted by law and your preferences. You can opt out anytime.
- Advertising & Retargeting: Use cookies/pixels to show relevant Reachific ads on other sites and measure performance. See Cookies and Your Rights for choices.
- Affiliate Program Administration: Track referrals, calculate/pay commissions, and communicate program updates.
- Public Testimonials (with consent): Publish your name, photo, business name, and comments if you approve.
- Security & Fraud Prevention: Monitor and protect accounts; detect/prevent abuse and malicious activity.
- Legal Compliance & Enforcement: Comply with legal obligations; respond to lawful requests; enforce agreements; maintain necessary records.
Legal Bases (EEA/UK, where applicable): Performance of contract; legitimate interests (e.g., improvement, security, marketing to customers); consent (e.g., non-essential cookies/marketing where required); legal obligation.
3. How We Disclose or Share Information
We do not sell your personal information for money. We share Personal Information as necessary for the purposes below:
- Service Providers (Processors): Third parties under contract to perform services on our behalf and only use data for our purposes, including:
- Infrastructure/Hosting: Cloud hosting and storage providers.
- Email/SMS Delivery: Providers that deliver messages you send (e.g., email gateways, SMS carriers).
- Payment Processing: PCI-compliant processors (e.g., Stripe) for billing/payouts.
- Analytics & Performance: Tools that help us understand usage and stability.
- Advertising Partners: Platforms that run our campaigns (e.g., for retargeting, conversion measurement) using cookies/pixels or hashed lists.
- Support/Operations: Ticketing, live chat, CRM, logging/debugging tools.
- Within Our Corporate Group: Sharing with affiliates/subsidiaries to operate the Service.
- Business Transfers: In mergers, acquisitions, or reorganizations, your data may be transferred subject to comparable protections and notice.
- Legal & Safety: Disclosures to comply with law, protect rights/safety, enforce terms, or defend legal claims.
- Your Direction: When you publish content or direct us to share via integrations, webhooks, or APIs.
- Aggregated/De-identified Data: Shared for reporting and insights that do not identify you.
- Joint Features/Events: Co-sponsored features or webinars—shared as disclosed at registration (and with consent where required).
4. Cookies and Tracking Technologies
What They Are: Small files/technologies (cookies, pixels, beacons, local storage, SDKs) used to operate, secure, analyze, and improve the Service and our marketing.
Types We Use:
- Strictly Necessary: Essential for login, security, and core features.
- Functionality: Remember preferences (e.g., language, dismissals).
- Performance & Analytics: Measure usage and errors to improve the Service.
- Advertising & Retargeting: Show relevant Reachific ads elsewhere and measure conversions.
- Affiliate Tracking: Attribute sign-ups to referring partners (e.g., time-limited cookie with affiliate ID).
Consent & Preferences: Where required, we present a banner to obtain consent for non-essential cookies and offer controls to manage preferences.
Managing Cookies: Use your browser/device settings to block/delete cookies; note some features may not work without them. You can opt out of targeted ads through on-site controls, supported browser signals (e.g., Global Privacy Control), and industry pages (NAI/DAA). Opt-outs are browser/device-specific.
Third-Party Tracking: Some partners (e.g., analytics/ads) set their own cookies/pixels on our site. See their policies for details. We contractually restrict misuse and honor applicable opt-outs.
5. Data Retention and Security
Data Retention
- We retain Personal Information as long as necessary for the purposes described, or as required by law.
- Active accounts: profile and content persist while the account is active. Deleted items are removed from live systems; backups persist for a limited time.
- After cancellation/inactivity: personal data is deleted or anonymized after a set period (e.g., ~60–90 days) except where law requires longer retention (e.g., tax records) or for legitimate interests (e.g., fraud prevention).
- Marketing lists: retained until you unsubscribe or demonstrate long-term disengagement, then minimally retained to honor opt-outs.
- Logs/analytics: kept for shorter windows in identifiable form; aggregated trends may be retained longer.
Security Measures
- Encryption: TLS for data in transit; sensitive data hashed/encrypted at rest where appropriate.
- Access Controls: Role-based access, least-privilege, MFA for administrative access; confidentiality training.
- Network & System Security: Firewalls, monitoring, vulnerability management, backups.
- Testing & Auditing: Periodic assessments (e.g., vulnerability scans, penetration testing).
- Incident Response: Procedures to notify affected users/authorities as required and mitigate impact.
No method of transmission or storage is 100% secure. Use a strong, unique password and contact us immediately if you suspect unauthorized access.
6. Your Rights and Choices
General (All Users)
- Access & Correction: View/update many details in your account or contact us for a copy/corrections (subject to verification and legal limits).
- Deletion: Request deletion of Personal Information (with legal/operational exceptions). Export what you need before deleting your account.
- Objection/Restriction: Object to processing based on legitimate interests; we will assess and comply where required. You can always opt out of direct marketing.
- Portability: Request machine-readable copies of information you provided and, where feasible, transfer to another service.
- Withdraw Consent: Withdraw consent for activities that rely on it (e.g., non-essential cookies, marketing). This won’t affect prior lawful processing.
- Authorized Agents: Where permitted, designate an agent to make requests (subject to verification).
- Non-Discrimination: We will not discriminate against you for exercising your rights.
California (CCPA/CPRA)
- Right to Know: Request categories and specific pieces of Personal Information collected, sources, purposes, third-party disclosures, and whether data was “shared” for cross-context advertising.
- Right to Delete & Correct: Request deletion of information collected from you (subject to exceptions) and correction of inaccuracies.
- Opt-Out of “Sale/Sharing”: We do not sell data for money. Our use of advertising cookies/pixels may be considered “sharing” for cross-context ads. Use our “Do Not Sell or Share My Personal Information” link (site footer) or a browser sending Global Privacy Control; we honor such signals.
- Minors: We do not knowingly collect personal information from users under 16 without appropriate authorization.
We verify requests to a reasonable degree of certainty and respond within applicable timeframes. We do not share personal data with unaffiliated third parties for their own direct marketing without consent.
EU/EEA, UK, and Similar Jurisdictions
- Rights under GDPR (or local equivalents): access, rectification, erasure, restriction, objection, portability, and complaint to a supervisory authority. We encourage contacting us first to resolve concerns.
7. International Data Transfers
We are based in the United States. Your Personal Information may be transferred to, stored, and processed in the U.S. and other countries that may have different data protection laws than your country.
EEA/UK/Switzerland: For transfers to countries without an adequacy decision, we implement appropriate safeguards (e.g., European Commission Standard Contractual Clauses) and supplementary measures where appropriate. In some cases, we rely on consent, contract necessity, or other permitted bases. Copies of relevant safeguards may be available upon request (subject to confidentiality).
Other Regions: We apply comparable safeguards consistent with local laws (e.g., SCCs or similar mechanisms) for cross-border transfers.
8. Additional Details
Third-Party Websites & Services: Our Service may link to or embed third-party services (e.g., payment iframes, social tools). Their privacy practices govern data collected by them. Review their policies before providing information.
Social Media Features: Widgets (e.g., “Like/Share” buttons) may collect your IP and page visits and set a cookie. Your interactions are governed by the provider’s policy.
User-Generated Content: Information you post in public areas (forums, comments) may be read and used by others. Share cautiously.
Changes to This Policy: We may update this Policy to reflect changes in practices, technologies, or laws. We will post the updated Policy with a new “Last Updated” date and, for material changes, provide additional notice (e.g., prominent site notice or email). Your continued use after changes indicates acceptance.
